Indexing - Health Records Officers Registration Board of Nigeria (HRORBN)

INTRODUCTION

Indexing Unit is a unit directly under the supervision of the office of the Registrar/CEO, the main activities of the unit is to receive indexing request that is saddled with responsibility to handled issues or matters relating to students enrolments and to ensure that, the Board’s approved institution maintain the Admission Quote and to ensure only Qualified Candidates are admitted.

 

PREAMBLE

Indexing Unit is a unit that is saddled with responsibility to handled issues or matters relating to Health Information management students enrolments at the various  approved Health information management training institutions across the country including foreign graduate, the unit also ensures that each school maintain the Admission Quote as approved by the Board during grant of accreditation, the unit further receive such Indexing request, process and released the list of indexed students ass approved by the Registrar/CEO.

 

STAFF STRENGTH

The unit has staff strength of four (4) staff

 

FUNCTIONS OF INDEXING UNIT

  1. Collection of Request from the Schools/Training Institution
  2. Confirming the school status of the school accreditation through Education Department
  3. Verification of forms and other requirement in order to ensure Compliance with Board admission guideline
  4. Endorsement of the Verified forms by Indexing officer
  5. Generation of Qualified students List
  6. Allocation of index number to only verified and Qualified candidate
  7. Approval and endorsement of the generated index numbers list by the Registrar/CEO
  8. Release of the approved list to the School/Institution
  9. Monthly Report generation of the indexing activities
  10. Performing any other function that might be assign by the Registrar/CEO

ACHIEVEMENT OF THE DEPARTMENT

  • Seamless operation with 100% support from management
  • Successful implementation of policy for only RRR payment is accepted
  • Successful implementation of policy for no re-indexing  to sanitize and minimize mid-program admission
  • Successful implementation of policy for no Late-indexing  to sanitize and block enrolment from non-accredited institutions
  • About 5,478 Student were indexed in 2022 improved compared to the previous years.

PROMOTION

One staff from the unit was promoted from GL8 to GL9 in 2023

TRANINIG

There no staff that under go any training in the year 2023 from the unit, moreover there is need for more robust IT training to improve the staffs productivity and efficiency
