PROTOCOL UNIT

JOB SCHEDULE FOR UNIT HEAD

  1. Selection of Hotels/ Accommodations
  2. Compere(MC)
  3. Consular Services
  4. To ensure CEO’s Event are Managed
  5. Prepare speeches for the Registrar/CEO
  6. Arranges for International Passports from Immigration office
  7. To ensure no action stays more than 24 (twenty four hours) without reporting circumstance to the Registrar/CEO.
  8. To perform any other duties as may be assigned

 

SECTIONS UNDER PROTOCOL UNIT

  1. Courtesy Call Section
  2. Hotel/Accommodation Section
  • Advance Party/Itinerary Section

 

 

  1. COURTESY CALL SECTION
  2. Scouts for places of interest to the Board
  3. Writes courtesy call letters/follow up
  4. Makes arrangements for the success of the visits
  5. Liaise with PR Unit for Press coverage/photographs
  6. Notifies HODs/HOUs of the visits
  7. To ensure no action stays more than 24 (twenty four hours) without reporting circumstance.
  8. To perform any other duties as may be assigned
  9. HOTEL/ACCOMODATION SECTION
  10. Writes /notifies the hotel for accommodation of guests
  11. Booking of flight tickets
  12. Writes to the Registrar/CEO for approval to book for accommodation
  13. Verify and recommend for payment of hotel bills
  14. Arranges for pickup/drop off of guests at arrival/departure points
  15. Ensures the guests are comfortable e.g. provision of water and adequate food
  16. Booking of hotel accommodation for all invitees of the Board.
  17. To ensure no action stays more than 24 (twenty four hours) without reporting circumstance.
  18. To perform any other duties as may be assigned

 

 

  • ADVANCE PARTY/ITINEARY SECTION
  1. Goes ahead of the Registrar/CEO to an event
  2. Ensures logistics are set for any event to be attended by the Registrar/CEO
  3. Write and organise daily/quarterly programme for the Registrar/CEO
  4. Arranges for the Registrar/CEO’s security
  5. To ensure no action stays more than 24 (twenty four hours) without reporting circumstance.
  6. To perform any other duties as may be assigned
